Part-time Controller

Position Summary
Nova Montréal is currently seeking a Part-time Controller to join our expanding team. Reporting directly to the Executive Director, the Controller will lead all day-to- day operations of the budget and will have functional responsibility over accounting, accounts payable, accounts receivable, payroll and financial administration.
 
Responsibilities
 
Finances (55%)

  • Prepares monthly financial statements and summaries for the Executive Director, the Treasurer and/or Board of Directors, as well as yearly reports for the external auditor
  • Administers federal and provincial government reports including DAS, CSST, GST, QST as required
  • Produces cost-benefit analyses twice a year (March and October)
  • Processes routine financial transactions for accounts receivable and payable services including billing, recording of payments and bank deposits, resolving outstanding balances, processing invoices and check requests, while responding to general inquiries from clients and vendors
  • Processes donations, expenses and other entries in the journal ledger on a weekly basis
  • Processes monthly closures of ledger entries, reconciliation of accounts, analysis of bank statements and adjustments of discrepancies
  • Oversees the cash flow management system, including petty cash

 

Payroll (30%)

  • Processes bi-weekly payroll for employees, including deductions, calculations for statutory holidays, sick days, and issuing records of employment
  • Ensures the transfer of data to the Desjardins payroll system
  • Assists the ED and Treasurer in negotiating rates, and manages the employee inscriptions and payments of insurance, employee benefits and pension plans
  • Processes vacation pay when due
  • Prepares annual payroll reports, and tax and payment summaries

 

Budget Preparation (15%)

  • Reviews and analyzes program revenues and expenses, and prepares forecasts for the ExecutiveDirector and Treasurer
  • Prepares budgets for funding applications, and preparation of financial components for proposals and reports to funders, in consultation with the Director of Development

 

Office Administration (5%)

  • Supervises overall Operations including Safety, Security, Computer Services and Building Maintenance
  • Oversee the management of all leases and contracts

 

Qualifications
This is an opportunity for a mature professional with a minimum of five years of accounting and finance experience, ideally with experience in non-profits or health organizations that have multiple programs. Specific requirements include but are not limited to:

  • Bachelor’s Degree in Accounting plus a minimum of five (5) years of related experience
  • Solid experience coordinating audit activities and managing reporting, budget development and analysis, accounts payable/receivable, payroll and accounting for investments
  • Ability to work independently with minimum supervision
  • Provide financial analysis and assist as needed, in pricing decisions and contract negotiations
  • Strong interpersonal and communication skills in English and French; experience in effectively communicating key data, including presentations to the Executive Director and Board
  • A proactive, hands-on strategic thinker who will own, in partnership with the Board Treasurer,the responsibility for finance
  • Advanced abilities with MS Office Suite and accounting software
  • CPA preferred

Executive Director (ED)

The Position
Reporting to the Board, the Executive Director (ED) is responsible for leading a team of close to 40 including nurses, home health care workers, and 5 administrative staff members. This team of health care workers and administrative personnel are supported by close to 60 volunteers

The ED is responsible for the overall direction of the organization, ensuring the provision of high quality, cost-effective nursing and related services to individuals and families in the community. The ED works in conjunction with the Board of Directors to develop, review and implement the strategic plan and also acts as a spokesperson for the organization to community organizations including CSSSs and hospitals, funders and the general public.

Priorities of the function include:

  • Guide the organization through a process of continuous improvement and collaborates closely with the Board to review programs and delivery of service to optimize both financial and human resources.
  • Implements appropriate systems to monitor the operations against Board approved budget, community needs, staff and volunteer resources
  • Develops and maintains close contact with community organizations, notably the CSSSs and hospitals, to monitor trends and develop continuing initiatives in the health care field.
  • Works closely with the Director of Development and the Board to develop new sources of funding and ensure stewardship of current donors.
  • Provides ongoing supervision of nursing and auxiliary staff.

Candidate Profile

Experience
The ideal candidate will be an experienced administrator and manager with a passion for community health care. The successful candidate will likely hold a Baccalaureate Degree in Nursing and have experience in a community setting (e.g. hospital, CSSS, local health organization). A degree in business or health care administration or equivalent experience will be considered an asset. He or she will preferably have experience working with volunteers, including at the Board level. Candidates should have a proven ability to manage organizational change in a fast-paced environment, while maintaining current knowledge about community health and social needs.

Competencies
The candidate should have a successful track record as a manager and leader with strong interpersonal skills.

The candidate must be comfortable collaborating at all levels in the organization, dealing with colleagues, medical and administrative professionals, members of the Board and donors. The candidate has an established capacity to influence and is able to work in close collaboration with a large variety of stakeholders to develop solid relationships founded on mutual confidence.

The candidate must be capable of working well within a team towards the successful accomplishment of strategic objectives. The candidate must have a basic level of financial literacy and a demonstrated knowledge of continuous quality improvement processes. He or she should have a tendency to encourage participation from teammates with the goal of developing projects and solving problems in a collective manner.

Excellent communication skills are required and the candidate must be fluently bilingual, in English and French.

Home Health Aide

Recognized as a pioneer of home healthcare services, NOVA Montréal is currently recruiting for permanent/casual Home Health Aide positions.

In accordance with NOVA Montréal’s policies and procedures, and under the direction of the Registered Nurse/Case Manager, the Home Health Aide will:

  • Assist with activities of daily living, including personal hygiene services (bathing, dressing and grooming), light housekeeping services, meal services, exercise and physical assistance, companionship and mental stimulation, where applicable
  • Administer prescribed and prepared oral medications as directed by the RN/Case Manager
  • Maintain records of the client’s condition, and report any health-related changes to the RN/Case Manager in a timely manner
  • Provide clients and their families with support and basic instructions on independent living and adaptation to disability or illness

Qualifications

  • Health Care Aide certificate or equivalent required
  • PDSB and CPR certificates required
  • Minimum 1 year of recent experience working with elderly or disabled persons, preferably in home care assistance
  • Palliative care experience is an asset
  • Ability to effectively communicate in English or French. Bilingualism is an asset.
  • Must be available minimum 3 days in the workweek in addition to weekends or alternating weekends. May be required to work day/evening and/or nights
  • Must have access to reliable transportation
  • Must be able to commit to an ongoing schedule, while able to be flexible and adaptable to changing work environment
  • Must be punctual, with a good attendance record
  • Satisfactory medical examination and police record check
  • Must have a compassionate and caring demeanor
